A professional roofing estimate begins before someone enters quantities into a document. The team needs a clear request, reliable assessment information, explicit assumptions, and a way to track revisions. This guide focuses on organising that business workflow; it does not replace qualified site assessment, safe working procedures, or technical roofing judgement.

Capture the request and prepare the assessment

Start with the property address, the customer's contact details, the reason for the enquiry, and the requested timing. Distinguish a repair enquiry from a replacement or inspection request. Record relevant access constraints and who can authorise a visit. Keep the original enquiry attached to the record so the assessment team understands what prompted the customer to call.

Before scheduling, confirm what information the assessor needs and how observations will be recorded. Use a consistent checklist for notes, photographs, customer requirements, and questions that need further investigation. The checklist should support a qualified person's assessment, not encourage office staff to infer roof condition or access safety from an incomplete description or image.

Separate evidence, assumptions, and exclusions

After the assessment, organise the supporting information in one place and identify what has been confirmed. Keep unverified measurements, concealed conditions, and unresolved scope questions clearly labelled. A tidy estimate can still be misleading if it presents uncertain inputs as facts. Ask the responsible assessor to resolve material gaps before the proposal reaches the customer.

Describe the proposed work in language the customer can follow. Explain which areas are included, which material options are being priced, and what is excluded. Where an assumption could change the scope, state how that issue will be reviewed. Have the appropriate technical and commercial reviewers check the document rather than relying on a standard template to cover every property.

Control versions and customer questions

Give each proposal a clear version or revision date and keep earlier versions linked to the opportunity. If the customer requests an alternative material or adds an outbuilding, record the request and identify which version responds to it. Do not overwrite the history in a way that leaves the office and field team discussing different scopes.

When sending the estimate, explain the next decision and offer a way to ask questions. Create a follow-up task tied to an agreed review date rather than sending repeated generic reminders. Record the customer's response in context: accepted, changes requested, postponed, or declined. An opened document alone does not mean the customer has approved the work.

Hand over the accepted scope

Before a job is scheduled, confirm that the delivery team can find the accepted version, assessment notes, relevant photos, site contact, and any conditions that affect planning. Review unresolved items explicitly. Sales should not have to retell the entire conversation, but the receiving team should have a clear opportunity to ask questions before taking responsibility for delivery.

Use a short readiness review to check that the job record matches what the customer approved. Keep scheduling commitments separate from unconfirmed supplier or crew availability. In a ZODO demonstration, walk through one realistic enquiry with a revision and a handoff. Confirm how the available tools support that sequence and which steps your team will still manage directly.

Put it into practice

  • Keep the original request and assessment evidence together.
  • Label assumptions and exclusions clearly.
  • Track proposal revisions and explicit decisions.
  • Review the accepted scope before scheduling delivery.
